Job Description : The Archiving Command Center Lead is responsible for overseeing and managing the daily operations of the Centralized Shared Services (CSS) archiving system. This role involves supervising the Archiving runner, ensuring that archiving tasks are completed efficiently and in compliance with established procedures. The role also includes monitoring service levels, managing user interactions, coordinating with IT and other departments, and implementing continuous improvement initiatives to enhance the overall effectiveness of the archiving process.

Role & Responsibilities
Supervise Archiving Resources in Daily Operations:

  1. Assign and prioritize tasks for Archiving runner.
  2. Ensure adherence to standard operating procedures (SOPs).
  3. Conduct regular performance reviews and provide feedback to Archiving runner.
Monitor Achievement of SLA:
  1. Track and report on key performance indicators (KPIs) related to archiving operations.
  2. Identify and address any bottlenecks or delays in the archiving process.
  3. Conduct regular SLA review meetings with stakeholders to ensure targets are met.
Manage Users' Complaints, Questions, and Feedback:
  1. Implement and manage a ticketing system for handling user issues and requests.
  2. Communicate regularly with users to gather feedback and provide updates on issues.
  3. Escalate unresolved issues to higher management when necessary.
Advise on Improvements for the Archiving Resources:
  1. Conduct root cause analysis on recurring issues and propose solutions.
  2. Implement continuous improvement initiatives and industry best practices.
  3. Provide ongoing training and development programs for Archiving runner.
Coordinate with IT and Other Departments:
  1. Ensure the proper functioning of the e-arsip system and related tools.
  2. Collaborate with IT to resolve technical issues that may impact archiving operations.
  3. Work with other departments to ensure shared service operations align with overall business goals.
Data Management and Reporting:
  1. Maintain accurate and up-to-date records of all archiving operations.
  2. Generate and analyze reports on operational efficiency and SLA compliance.
  3. Ensure that all data management practices meet security and regulatory standards.
